We are looking for a positive, proactive and approachable Administrative Assistant (m/f/x) to provide departmental support to our CFO & COO as well as to our CEO’s Executive Assistant. If you have a love for learning, enjoy working with a fun and vibrant team, and meet the key qualifications, this position could be a great fit for you. Tasks will vary, depending on working style and the existing workload. The duties described below make up a typical, but not necessarily complete, list. For sure your responsibilities will include a wide range of administrative tasks, including the following.
Heavy & complex calendar management: Coordination of multiple calendars with an understanding of business priorities to offer alternatives, trade-offs and consideration of the most efficient use of time
General administrative support including research, organization and booking of business travel, expense reports, and internal events (caterings, team offsites etc.)
Back-up support for other members of the administrative team when needed (e.g. vacation replacement)
3+ years of administrative support with extensive calendar management experience in a fast-paced environment
Ability to manage time, prioritize multiple assignments, and work within deadlines while paying attention to detail
Ability to smoothly adapt to changing circumstances & priorities and show flexibility when needed
Trustworthiness and discretion regarding sensitive/confidential information
Strong written and verbal communication skills (will be communicating with executives), paired with a team-player mentality
Mastery of Google Suite Apps (Gmail, Google Calendar, Google Docs, Google Sheets)
Excellent written and verbal communication skills in both German and English
